Introduction
This role is an excellent opportunity for an experienced assistant to support a fund placement / client-facing team within a financial services environment. Based in central Tokyo, the position offers broad exposure to senior stakeholders, global clients, and investment-related activities, with the potential for either contract or permanent employment depending on experience and performance.
About the Role
The Fund Placement Assistant plays a key supporting role for the team by handling a wide range of coordination, administrative, and client-facing tasks. The position requires strong organizational skills, attention to detail, and the ability to communicate effectively in both Japanese and English. You will work closely with internal team members as well as domestic and international clients.
Responsibilities
Client & Meeting Coordination
- Support confirmation of travel schedules, accommodation, and itineraries for visiting overseas clients
- Assist with scheduling meetings, lunches, and other appointments, and updating shared calendars (e.g. Outlook)
- Arrange transportation, restaurant bookings, and meeting-related logistics
- Support preparation and printing of materials
- Set up online meetings with domestic and international clients
- Assist with arranging in-person meetings (client visits and office meetings)
- Prepare and send invitations for business dinners and events
- Arrange congratulatory messages, flowers, and related items
Seminar & Event Support (1–2 times per year)
- Support venue and logistics arrangements (e.g. hotels, event spaces)
- Assist with sending invitations and managing attendee communications
- Provide on-site support during events and receptions
Data Management & Team Administration
- Maintain and manage client lists
- Support the implementation and ongoing maintenance of a CRM system
- Handle visitor reception duties, including meeting room booking and hospitality support
- Assist with internal team events (dinners, parties, etc.)
- Support travel arrangements for team members (flights, hotels, etc.)
- Assist with expense processing
- Provide general administrative support, including mail and courier handling
Requirements
Mandatory
- At least 3 years of assistant experience in the financial industry (preferably within an asset management or investment-related environment)
- Business-level English skills (approximately TOEIC 850 or above), or at least 3 years of assistant experience at a global financial institution
Preferred
- Basic knowledge of alternative investments (e.g. private equity, private credit)
- Higher English proficiency (TOEIC around 900 or above)
- Proficiency in Microsoft Excel (basic functions), Word, and PowerPoint (including standard pitch book formatting and layout adjustments)
