HR Associate

Our client is seeking a proactive and detail-oriented HR Associate to join its Human Resources team in Tokyo. This position offers an excellent opportunity for an organized and service-oriented professional to contribute across a broad range of HR operations, recruitment coordination, employee administration, and team support activities within a collaborative and fast-paced environment.


About the Role

Reporting to the VP, HR Business Partner, the HR Associate will provide operational and administrative support across the employee lifecycle. The role will play a key part in ensuring the smooth execution of recruitment processes, onboarding, HR documentation, training coordination, reporting, and employee data management.

The successful candidate will work closely with internal stakeholders, external recruitment partners, and vendors while maintaining a high standard of accuracy, confidentiality, and professionalism.


Responsibilities HR Operations & Administration
  • Provide day-to-day administrative and operational support to the HR function
  • Prepare HR-related documents, including employment letters and employee communications
  • Maintain accurate employee records and personnel files
  • Support invoice processing, vendor coordination, and payment administration
  • Process HR transactions related to new hires, employee updates, and employee exits
  • Generate regular and ad hoc HR reports and maintain data accuracy
  • Update and maintain employee information within the company’s HR management system
  • Coordinate logistics for internal training sessions, workshops, and employee events
  • Support additional HR projects and administrative duties as required


 Recruitment & Onboarding Support

  • Coordinate interview scheduling with hiring managers and external recruitment agencies
  • Support recruitment administration, including resume management, approval tracking, background checks, and pre-employment documentation
  • Prepare offer documentation and onboarding materials for new employees
  • Coordinate onboarding activities to ensure a smooth new hire experience


Requirements Experience & Education
  • Approximately 2+ years of experience in an HR, administrative, or customer-facing support role
  • Bachelor’s degree or equivalent practical experience preferred


Skills & Competencies
  • Strong organizational skills with excellent attention to detail
  • Ability to manage confidential and sensitive information with discretion
  • Collaborative and adaptable mindset with a willingness to learn
  • Strong communication and coordination skills
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
  • Fluent Japanese language skills
  • Conversational English communication ability
